Administration Manager
This role requires an individual with a broad range of capabilities to develop and drive our team of Project and Corporate Assistants. Successful candidate is a motivated self-starter with 10+ years’ experience in an EPCM environment, and a demonstrated ability to effectively manage a team of administrative personnel in support of project teams and corporate managers.
Major Role Accountabilities- Plan, assign, and direct work in support of project teams and corporate managers
- Ensure alignment of departmental goals and objectives, address complaints and resolve issues
- Mentor and provide guidance to team and appraise performance
- Forecast project resource requirements and manage recruitment initiatives
- Manage adherence to established procedures, processes and work standards
- Drive performance of Project Assistants in support of:
- QA checks and formatting Word documents to ensure Client / Rally standards are met (e.g. status reports, technical reports, material requisitions, scope of work, CWP / EWP documents, PEPs, Logs, RFIs, etc.)
- Issue engineering documents
- Creation and maintenance of project files (hard and electronic format) and change control of documents
- Project close-out activities – gather / file all native documents (except drawings)
- Completion of travel for project team members (Project Managers, Engineers, etc.)
- Project meeting preparation – book conference room, set-up and breakdown services (catering, equipment, etc.)
- Additional support functions as directed
- Drive performance of Corporate Assistants in support of:
- Applying discretion and independent judgment in managing confidential information
- Composing correspondence following established procedures for management review
- Preparing charts, graphs, tables, or reports as directed
- Outlook calendar management
- Flawless execution of travel arrangements
- Corporate meeting preparation – book conference room, set-up / breakdown services (catering, equipment, etc.)
- Prepare PowerPoint presentations
- Additional support functions as directed

- Superior verbal, written, organizational skills, coupled with proficiency in the Microsoft Office suite of applications
- Proficiency in managing shifting priorities in a multi-tasked environment and anticipating change and growth needs
Required- Diploma or Certificate from a recognized business program or equivalent combination of education / experience
- Valid driver’s license with an acceptable driving abstract
